Terms and conditions
Last updated 8 October 2026

1. About these Terms

These Terms & Conditions govern access to and use of the Collab application, website and related services (Collab). Collab is operated by Re Psychology Pty Ltd, trading under the K Family Trust (ABN 28 507 384 561) (Re Psychology, we, us or our).

By creating an account, accepting an invitation, purchasing a subscription or otherwise using Collab, you agree to these Terms. If you do not agree, do not use Collab.

2. What Collab does

Collab is a collaboration and communication platform designed to help a participant/client and the people involved in their support communicate, coordinate information, share documents and work together.

Collab may be used by participants/clients, parents or guardians, NDIS providers, support workers, allied health professionals, health professionals, educators, family members and other authorised people.

Collab is a technology platform. It is not an NDIS provider, health service, emergency service, clinical decision-maker or substitute for professional judgement.

3. Definitions

  • Participant or Client means the person whose Collab space is being used as the central support space.

  • Central User means the Participant/Client, or an authorised parent/guardian or representative acting for them.

  • Invited User means a person invited to a Participant/Client's Collab space.

  • Provider means an NDIS provider or other organisation/professional using Collab.

  • User Content means information, messages, documents, images and other material entered or uploaded by users.

  • Subscription means a paid Collab plan.

4. Participant-controlled access

Collab is designed around the Participant/Client as the central user. Subject to applicable guardian, representative and legal arrangements, the Participant/Client controls who is invited to their Collab space. Re Psychology does not independently decide which providers or other people should have access.

An Invited User may access information made available through the relevant Collab space according to the permissions and functionality implemented in Collab.

5. Parents and guardians

A parent or guardian may create or manage a Collab account on behalf of a child or young person where they are authorised to do so. The parent/guardian is responsible for ensuring that they have appropriate authority and for using the account consistently with the child's rights and applicable law.

6. Account security

  • Provide accurate information and keep account credentials secure.

  • Do not share credentials or access another person's account without authorisation.

  • Notify us promptly of suspected unauthorised access.

  • You are responsible for activity occurring through your account, except to the extent caused by our breach or applicable law.

7. Information and User Content

Users may enter or upload personal and sensitive information, including health, disability, support, education, appointment, goal, communication and service information. Users must only upload or share information they are authorised to use and disclose.

You retain your rights in User Content. You grant Re Psychology a limited, non-exclusive licence to host, store, transmit, display, back up, secure and otherwise process User Content only as reasonably necessary to provide, maintain, secure and improve Collab and comply with law.

8. NDIS and provider responsibilities

Collab may be used by NDIS providers, but Collab is not itself an NDIS provider and Re Psychology does not provide NDIS supports through the platform. Each provider remains responsible for its own obligations, including obligations relating to participant consent, privacy, record keeping, professional conduct, information handling, incident management and applicable NDIS requirements.

Access to information through Collab does not by itself authorise a provider to use, disclose, copy or retain that information for every purpose. Providers must determine whether each use is authorised and lawful.

9. Messaging and documents

Collab may provide direct messaging and document upload. Users must take care when communicating or uploading sensitive information and should only share information with people who need it for a legitimate purpose.

10. No emergency reliance

Collab is not monitored as an emergency service. Users must not rely on Collab for urgent medical, safety or crisis communication. In an emergency, contact the appropriate emergency service.

11. Acceptable use

  • Do not use Collab unlawfully or to facilitate abuse, exploitation, harassment, threats or discrimination.

  • Do not upload malicious code or attempt to compromise security.

  • Do not impersonate another person or access information without authorisation.

  • Do not upload content you do not have the right to use or disclose.

  • Do not use Collab to circumvent access controls or interfere with another user's account.

12. Intellectual property

Collab software, branding, interfaces, designs and underlying technology are owned by or licensed to Re Psychology and may not be copied, reverse engineered, resold or commercially exploited except as permitted by law or written agreement.

13. Availability and changes

We aim to provide a reliable service but do not guarantee uninterrupted or error-free availability. We may perform maintenance, security updates and feature changes. Material changes to these Terms will be communicated where required.

14. Third-party services

Collab may rely on third-party providers for hosting, payments, authentication, communications, analytics, security and other technical services. Those providers may have their own terms. We will take reasonable steps to select and manage providers appropriately.

15. Suspension and termination

We may suspend or terminate access where reasonably necessary for security, unlawful use, material breach, non-payment, legal compliance or protection of users. Where practicable, we will provide notice.

16. Australian Consumer Law

Nothing in these Terms excludes, restricts or modifies a consumer guarantee, right or remedy that cannot lawfully be excluded under the Australian Consumer Law or other applicable legislation.

17. Liability

To the maximum extent permitted by law, we are not responsible for losses arising from user-entered information, decisions made by users, a user's failure to protect credentials, third-party services, internet outages or events outside our reasonable control. Nothing excludes liability that cannot legally be excluded.

18. Privacy

Our Privacy Policy explains how personal information is collected, used, disclosed, stored and protected.

19. Governing law

These Terms are governed by the laws of South Australia, Australia, subject to any mandatory rights available under applicable law.

2. Your choice

You decide who you invite to your Collab space, subject to applicable guardian, representative and legal arrangements.

3. What may be shared

  • Profile and contact information.

  • Goals, preferences and support information.

  • Health, disability and wellbeing information that you choose or are authorised to enter.

  • Documents and images.

  • Messages and other collaboration information.

4. Who may receive information

You may invite providers, support workers, allied health professionals, health professionals, educators, family members, carers or other people involved in your support.

5. Your responsibilities

Only invite people who should have access. Before uploading a document or sending a message, consider whether it contains information that should be shared with the intended recipients.

6. Changing access

Where supported by the product, you can manage your support network and remove a person's access. Removing access does not necessarily remove copies or information the person has already viewed, downloaded or otherwise received.

7. Children and guardians

A parent or guardian may act on behalf of a child or young person where authorised. The rights and interests of the child remain relevant, and account management should transition appropriately as the child gains capacity and applicable law requires.

8. Provider obligations

Providers remain responsible for their own obligations regarding participant information. Your invitation does not give a Provider unrestricted permission to use your information for unrelated purposes.

Professional & Provider Code of Conduct

1. Purpose

This Code sets expectations for professionals and Providers using Collab. It does not replace professional registration standards, NDIS requirements, employment policies or law.

NDIS Provider Data & User Agreement

1. Purpose

  • Do not download, copy or disclose participant information unless authorised and necessary.

  • Notify appropriate parties promptly if you become aware of an unauthorised disclosure or security incident.

4. Staff and contractors

A Provider must ensure its employees, contractors and other representatives who access Collab are appropriately authorised and understand their confidentiality and privacy obligations.

5. End of engagement

When a Provider no longer supports a Participant/Client, the Provider should promptly cease accessing the Participant's Collab information and notify the relevant Participant/Client or administrator as appropriate. Provider-side copies and records remain subject to the Provider's legal and professional obligations.

6. No certification claim

Use of Collab does not represent that Re Psychology has certified, endorsed or guaranteed a Provider's compliance with NDIS requirements.

7. Agreement

By accepting an invitation and using Collab, the Provider agrees to this Agreement and the Collab Terms & Conditions and Privacy Policy.
